Event planning can be a fun, challenging, stimulating and satisfying job - it can also, at times, be a daunting, maddening and nerve-shredding roller-coaster ride. Key to making it a joy rather than an ordeal is the planning-behind-the-planning. Here are 4 event planning tips to help you stay sane, save some time, and even some money:
1. Name tag ninja tips
Save yourself some time and trouble by having important information printed on the back of the guests/delegates name tags (location info, agenda and timings, contact numbers, etc). Also, when greeting arriving guests, have their name tags at hand on necklace trees; it will look organised and professional, and you will avoid having to fumble through a name-tag spaghetti!
2. First aid for planners
You never know when you’re going to need those scissors, pliers, batteries or other doodads - and trying to find a misplaced doodad in the midst of a busy event wastes time and can test already frayed nerves. Why not prepare an emergency kit (or two)? Fill a suitable container with all of those essential items and make sure everyone on your team knows where it is.

3. Get those Butts on Seats
Often people are reluctant to sit in or near the front of row or other high-visibility area – and having empty tables at your event doesn’t look good. A good way around this is to offer some kind of incentive for those who opt for these seats; it could be a small gift, a voucher or even cash.
Another (if a little sneaky) idea is to put prominent ‘reserved’ notices on the rear-most seats; this will force people near the front and help to fill up those empty seats. When the front areas are nicely filled up you can take away the notices.
4. Curb Your Catering Budget
Rather than hiring a large catering company, you could save a considerable amount of money by using a small, local outfit. Do a little investigative work and you could end up with a reputable company that does a superb job for significantly less than one of the big players.
If you’re holding your event at a hotel, you may not be able to bring in your own caterers. However, there’s still a terrific way you may be able to negotiate a saving. If you’re hosting corporate event, you may be able to combine a meal (or part of it) with a team-building exercise.
Speak with the hotel and ask if they can supply you with some cooking implements and simple-to-prepare ingredients (salad ingredients, for example). Then, instead of paying for a prepared meal and service, you have the delegates prepare their own meal (or course).
You will of course need to instruct/supervise the delegates or have someone do it, but it can be great way to shave some dollars from your costs and give everyone a fun way to break the ice.
